Overview

The Sample Coordinator plays a key role in supporting photo production operations across all Catalyst Brands. This role coordinates the movement, organization, and tracking of product samples across marketing, editorial, and eCommerce shoots.

Working under the guidance of the Sample Manager and Sample Specialist, this role ensures samples are received, tagged, delivered, and returned accurately and efficiently.This role is essential in supporting smooth operations and ensuring all samples arrive to set on time and in photo‑ready condition.

This role is ideal for a highly organized, detail-oriented team player with strong communication skills and an interest in photo production, fashion, and studio operations.

Responsibilities

  • Receive, check‑in, tag, and organize incoming samples.
  • Maintain daily organization of the sample room.
  • Track sample status within the Studio Production Platform (Letsflo) or equivalent system to ensure real-time visibility and accountability.
  • Deliver and retrieve samples from sets, stylists, and production teams; ensure all items are returned, re-tagged, and stored properly.
  • Support outbound shipping and returns.
  • Partner with Photo Production, Merchandising, and Photo Coordination teams to align on shoot priorities and sample needs.
  • Communicate proactively about missing, delayed, or damaged samples and partner on timely resolution.
  • Assist in preparing sample pulls for stylists, art directors, or campaign shoots as needed.
  • Coordinate sample purging with Division Merchandise Assistants and Marketing Managers to ensure the on-time purging samples.

Qualifications

  • 2+ years of experience in product or coordination, retail operations, or studio production environment.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent communication and problem-solving skills.
  • Experience with production tracking or sample management systems (Creative Force, ShotFlow, LetsFlo, etc.) a plus.
  • Proficiency in Microsoft Office, Excel, and Google Workspace tools.
  • Must be able to lift, pack, and move product samples as needed.
  • Organization & Attention to Detail – Tracks multiple workflows with accuracy and ownership.

  • Accountability – Follows through on commitments and maintains accuracy in documentation.
