Senior Executive Assistant, Marketing

General Summary: 
The Executive Assistant, Marketing, will support three Executives at Catalyst Brands, the SVP Creative & Creative Services, VP, JCP Integrated Marketing, and VP, Customer Marketing & Insights with time and calendar management, meeting preparation, assistance with reporting, travel and more as required. A successful candidate is highly detail-oriented, proactive, understands confidentiality and able to manage multiple priorities at once. This role requires a high level of judgment and the ability to work calmly under pressure, while ensuring all responsibilities are successfully met.

Key Responsibilities:
•    Provide administrative support for multiple Executives including, but not limited to, answering calls, travel arrangements, business meal reservations, expense processing, business events, appointment scheduling, and in-office meals.
•    Manage calendar, including accepting/rejecting meeting requests, booking local travel, diverting solicitors, managing schedule changes and printing necessary reports and attachments needed for each meeting.
•    Keep Executives on time and on schedule.
•    Organize and execute companywide meetings and other executive functions such as Owners Meetings and conferences.
•    Handle sensitive information with a high level of confidentiality.
•    Works on various ad-hoc projects.

Skills:
•    5 years of experience supporting a C-Suite executive or business leader
•    Computer proficient in Excel, Outlook, PowerPoint and Word 
•    Initiative and strong communication skills a must; ability to communicate effectively and succinctly, both verbally and on paper, and with all levels of an organization
•    Strong multi-tasker; flexible to changing priorities and managing multiple projects
•    Displays a sense of urgency; manages time efficiently and meets tight deadlines
•    Strong interpersonal skills

Responsibilities

•    Performs related clerical and administrative activities such as calendar management, scheduling meetings, maintaining files, and coordinating events for leadership and their direct reports. 
•    Serves as the primary partner in managing travel, events, on-site logistics and coordination of meetings for the leadership and supporting teams. 
•    Leads and manages Expense reporting (via iExpense) for leaders and team with high attention to detail, urgency and flawless execution.  
•    Initiates and responds to email and telephone inquiries to resolve matters not requiring specific action of the manager. 
•    Serves as a daily resource for internal partners, guiding them through questions, maintains an in-depth knowledge of resources within the division and directs parties to those resources as appropriate.    
•    Prepares, maintains, and updates data, reports, and records required by management utilizing Excel, Word, Outlook, Visio and PowerPoint.

Qualifications

•    3-5 years experience as a corporate executive assistant or in a support role; previous experience working in marketing, retail or for a consumer products company preferred.   
•    Demonstrates excellent judgment and strong awareness of ramifications when speaking to highly visible partners and vendors internally and externally. Strong-diplomatic skills.  
•    Excellent writing and composition skills; shows an ability to influence multiple audiences through their written communication. 
•    Accuracy, strong attention to detail.
•    Strong organization skills, multi-tasking high volume work requests and able to re-prioritize on the fly while possessing strong flexibility and adaptability.
•    Highly proficient in Microsoft Office (Word, Excel, PowerPoint); experience building presentation decks.
